Dis-Chem Admin Clerk Jobs 2026
The Dis-Chem Admin Clerk position involves providing administrative support at the Dis-Chem Distribution Centre and ensuring that administrative processes are completed accurately and efficiently.
The role requires a high level of attention to detail because the successful candidate will work with invoices, purchase orders, warehouse credits, returns, goods receiving documents, supplier information and other operational records.
Candidates should also be comfortable working with computer systems such as Excel, PowerPoint, Outlook, SAP and Kronos.
Duties and Responsibilities
Warehouse Support Services
As an Admin Clerk, you may be responsible for:
- Ensuring that warehouse and sales order credit requests are completed accurately and efficiently.
- Following up on credit-related requests and ensuring that outstanding matters are resolved.
- Reviewing credit requests and related documentation.
- Following up with stores, warehouses and interdependent departments.
- Maintaining effective communication between stores, warehouses and other departments.
- Ensuring that returns are processed according to the required procedures.
- Investigating delivery queries relating to warehouse deliveries.
- Assisting the Finance Department with the resolution of delivery and credit queries.
- Reviewing warehouse credits, including approval and decline of credits where applicable.
- Maintaining the integrity and accuracy of credit information captured on the system.
Administration Duties
The Admin Clerk will also perform general administrative duties, including:
- Keeping administrative information accurate and up to date.
- Maintaining statistics and records required by management.
- Completing weekly timesheets for outsourced companies.
- Distributing payslips according to Dis-Chem procedures.
- Ordering stationery on a weekly basis for the Pharmaceutical and/or Cosmetic Departments.
- Processing expense orders according to management instructions.
- Submitting invoices for payment once goods or services have been delivered.
- Performing general clerical and administrative duties.
- Capturing leave forms onto Kronos for permanent and outsourced employees.
- Performing appropriate clerical duties when the Admin Manager is on leave.
Goods Receiving – MIRA
The successful candidate may also be required to assist with goods receiving and invoice verification.
Responsibilities include:
- Checking and verifying goods receiving documentation.
- Processing invoices through MIRA.
- Ensuring that claims are completed for shortages and damages received from suppliers.
- Checking whether goods receiving documents have been allocated the appropriate status.
- Sending Green Lights to the MIRA department.
- Investigating Red Light exceptions.
- Matching quantities on Goods Receive Notes (GRNs) with supplier invoices and delivery notes.
- Referring errors and discrepancies to the relevant Department Manager.
- Capturing MIRA credit, newspaper and magazine invoices when requested by Head Office.
- Checking outside supplier invoices for accuracy.
- Verifying goods received against relevant invoices.
Orders and Purchase Orders
The Admin Clerk will be expected to accurately capture and process orders.
Duties include:
- Creating and capturing purchase orders on SAP.
- Ensuring that return-to-vendor inventory lists and open return orders are balanced with physical stock.
- Processing goods issues at the Distribution Centre according to Dis-Chem procedures.
- Accurately capturing supplier and distribution orders.
- Ensuring that order information is correctly recorded.
Adjustments and Supplier Returns
The role may also involve stock adjustments and supplier returns.
Responsibilities include:
- Processing relevant stock adjustments, including 701, 702 and 551 adjustments.
- Processing negative counts and cycle counts.
- Preparing goods for return to suppliers.
- Processing supplier returns according to Dis-Chem Standard Operating Procedures.
- Following up with supplier representatives regarding the collection of returned goods.
- Helping to minimise outstanding supplier return balances.
Customer Service
Good communication and customer service skills are important for this position.
The successful candidate will be expected to:
- Respond promptly to store queries relating to Distribution Centre discrepancies.
- Escalate unresolved matters to management.
- Communicate with relevant Dis-Chem departments and stakeholders.
- Coordinate with internal departments to resolve queries.
- Follow up with suppliers regarding delivery deadlines.
- Provide accurate feedback to management.
- Maintain effective relationships with internal and external customers.
