About the Supply Chain Clerk Position

The Department of Tourism is seeking a motivated and organized individual to support procurement, demand management, logistics, and contract administration functions within the department.

Key Responsibilities

The successful applicant will be responsible for:

Procurement Administration

  • Sourcing quotations from service providers through CSD and E-Portal.
  • Receiving and recording requests for quotations (RFQs).
  • Updating quotation progress registers.
  • Sending RFQs to selected service providers.
  • Receiving and updating quotations on departmental registers.
  • Publishing RFQ awards and results on the E-Portal.

Evaluation and Compliance

  • Evaluating quotations received.
  • Compiling evaluation reports.
  • Verifying supplier compliance.
  • Checking tax compliance status.
  • Verifying supplier banking details.
  • Ensuring quotation validity.
  • Confirming completion of SBD1 and SBD4 forms.
  • Verifying that company directors are not employed by the state.

Contract and Records Management

  • Updating departmental contract registers.
  • Maintaining transversal contract registers.
  • Managing finance lease registers.
  • Filing service level agreements (SLAs).
  • Preparing monthly procurement reports.
  • Updating RFQ and RFP status reports.

Customer Service and Communication

  • Responding to internal and external client queries.
  • Providing feedback to stakeholders.
  • Following up on procurement approvals.
  • Assisting end users with finance lease acquisitions.
